Summary

Reporting to the Manager, Facilities Projects & Planning, the Move Coordinator liaises with client departments’ move representatives regarding office move needs and coordinates moves with other Providence Health Care (PHC) support departments and external resources. Works with the client department to gather information and review details of an upcoming move and creates a move plan and office furniture layouts. Coordinates with Physical Plant or contractors to ensure specific client needs such as the installation of carpet, painting or electrical and data/communications wiring are addressed in a timely manner. Provides information related to upcoming moves to equipment or furniture vendors and coordinates deliveries to coincide with move. Coordinates and oversees the actual physical move, including hiring and supervising corporate movers, coordinating the purging, packing and unpacking, preparing and resolving the post move deficiency list and conducting the post occupancy evaluation.

Education

Diploma in Interior Design or related field of study, plus one (1) year of related experience, or an equivalent combination of education, training and experience.

Duties

1. Liaises with client departments’ move representatives regarding office move needs, scheduling multiple move sequences or dominoes as required. Coordinates moves with other Providence Health Care (PHC) support departments and external resources.

2. Works with the client department to gather information and review details of an upcoming move and creates a move plan and office furniture layouts. Advises Facilities Planning of any issues or concerns arising from the move planning process.

3. Coordinates with Physical Plant or contractors to ensure specific client needs such as the installation of carpet, painting or electrical and data/communications wiring are addressed in a timely manner.

4. Provides information related to upcoming moves to equipment or furniture vendors and coordinates deliveries to coincide with move.

5. Coordinates and oversees the actual physical move, including hiring and supervising corporate movers, and coordinating the purging, packing and unpacking processes.

6. Liaises with client departments during and immediately following the move to review issues or concerns. Prepares the post move deficiency list and works with movers or support departments to resolve outstanding issues.

7. Conducts the post occupancy evaluation with the client department and prepares summary reports to complete the move.

8. Performs other related duties as assigned.
